The AOS 2024 meeting will be held at the YMCA of the Rockies in Estes Park, Colorado. We have arranged for special rates for AOS 2024 meeting attendees. See our Transportation page for information about air travel and ground transportation options available to you.

If you are a resident of a country outside of the United States and need a letter of invitation to the AOS & 2024 conference for a travel visa application, please fill out our request form.

Please allow up to five business days for your request to be processed. Priority will be given to those presenting at the conference

YMCA Housing Options

Your conference lodge room package includes accommodations plus three meals per day, beginning with the evening meal on arrival and ending with the noon meal on departure. Please note that cabin reservations do not include meals, which must be purchased separately. Instructions for meal purchases for cabin reservations are below

Lodge rooms are in the same buildings as conference talks and close to all conference events. When you book a lodge room you get access to the full meal plan and unlimited coffee and tea for breaks. Lodge rooms have two queen beds and an optional single futon mattress. Cabins are located farther away.

On-site complimentary recreation includes miniature golf, basketball, volleyball, tennis, indoor swimming, hiking trails, playgrounds, library, and many family programs. Archery, horseback riding, and craft projects are available on-site for a fee.  

To make and confirm an accommodation reservation for the AOS Annual Meeting: 

  1. Click on the booking link below.
  2. Select the group arrival and departure date.
  3. Enter the group code. (listed below)
  4. Enter the number of ADULTS (age 13 and over, considered an adult for meal pricing)

For any children aged 6–12 years staying in the room with a parent, while booking your accommodations, include in the Comment section the names of children, 12 and under, and their ages. If applicable, meal prices for children will be added to your reservation prior to arrival.

Please note that a 35% deposit payable to the YMCA is due when making a reservation. Upon receipt of the 35% deposit by the YMCA, a lodging confirmation and reservation number will be emailed to you. 

If you are staying off property or in a cabin on the YMCA property, your meeting registration includes access to all meeting and networking events but not meals; meals can be purchased separately from your accommodations by visiting the Administration and Registration building at the YMCA Estes Park.

Lodge Rooms

From time of booking to 48 hours prior to arrival: Deposit is fully refundable
Less than 48 hours prior to arrival: No refund available

Cabins

From time of booking to 14 days prior to arrival: Deposit Is fully refundable
13–7 days prior to arrival: 25% of your deposit is forfeited as a Cancellation Fee
6 days or fewer prior to arrival: No refund available

Included Amenities

Lodge rooms and cabins include bed linens, towels, and free Wi-Fi. Cabins also include kitchen utensils, dishes, pots and pans, and a coffee maker. The YMCA does not have air conditioning in any of the lodging, but cool mountain air makes up for it! The lodge rooms and most cabin types do not include televisions — but you can borrow games and puzzles from their libraries and programs departments! Wi-Fi is free, with no password, but it’s not a secure network.

The YMCA offers a linen exchange, where you can bring your used towels and linens and exchange them for clean ones, but they do not provide housekeeping turn-overs during stays.

Check-in & Check-out Times

A small but mighty team of housekeepers is responsible for cleaning 500 lodge rooms and more than 200 cabins on any given day. In order to provide groups with the best experience, it can take time to clean accommodations.

Guests are welcome to check-in once rooms are cleaned; however, YMCA of the Rockies does not guarantee check-in until 6:00 p.m. on the day of arrival and check out is 10:00 a.m. on the day of departure. If arriving before 6:00 p.m. and rooms are not ready, guests are encouraged to take advantage of the YMCA’s complimentary facilities and activities. For guests arriving later, the Administration Building’s Front Desk staff are available 24 hours a day.
